FAQs For Tutors

Here are a few frequently asked questions from our tutors.

How Do I Receive Tuition Assignments?

We will contact suitable tutors for assignments via SMS/Whatsapp/Email/Telegram. You are able to apply for assignments via this link with a suitable assignment code. Our full list of assignments may also be found on our telegram page. If you would like to receive the latest updates on tuition assignments, please kindly register as a tutor with us. Priority will be given toward tutors who are responsive, well-conducted and have a good record history with us.

What Are The Commission Fees?

At MindFlex, we follow the industry practice of taking the 1st 2 full weeks of fees (50% of 1 Month), based on the intended long-term duration and frequency of the assignment. From the 3rd week onwards, the tutor is free to earn the full amount of tuition fees charged to the client. You will not need to collect the commission fees for us as we will bill the client directly. In the case whereby a client does not pay us the commission fees directly, the tutor is required to collect it on our agency’s behalf and transfer the fees to us. In the event whereby the client terminates the engagements before 1 full month of lessons are completed, you are eligible for 50% of the fees for lessons you have already taught.

What Are Short-Term Assignments?

Assignments which span 11 weeks and less are considered Short-Term Assignments by MindFlex & the industry standard. The general commission taken will be 25% of the Total Lesson Fees, subjected to a cap based on the total lessons conducted.

Tier 1: Total 16 Lessons & Less -> Capped at 2 Lessons Commission
Tier 2: Total 17 to 24 Lessons -> Capped at 3 Lessons Commission
Tier 3: Total 25 Lessons & More -> Capped at 4 Lessons Commission

Tutors are strongly encouraged to take into consideration the commission deducted whilst quoting their rates during assignment application. MindFlex will state in the assignment details whether the assignment is deemed as a Short-Term Assignment.

Any assignment which is not stated as a Short-Term Assignment by us is deemed to be a Long-Term Assignment by default. Tutors should not make their own conclusions whether an assignment is considered a Short-Term or Long-Term Assignment. This will be solely decided by MindFlex, and will be clearly communicated to the tutor before any assignment confirmation.

Long-Term Assignments that are terminated for any reason (e.g. unsuitability, location, personal reasons) are NOT considered as Short-Term Assignments.

In general, MindFlex will collect the short-term commission first based on the original request by the client. Any refunds/top-up of commission due to a change in total number of lessons conducted will be processed after all lessons have been completed and the Short-Term Assignment is deemed as concluded. Tutors are highly encouraged to keep a clear record of all lessons conducted, acknowledged by the client/student.

In the case of any discontinuations for Short-Term Assignments, MindFlex will collect 25% of the total lesson fees (subjected to the above tier caps) and the tutor will receive 75% of the total lesson fees. However in the case whereby a tutor decides to cancel the assignment completely without a valid or legitimate reason, he/she may not be entitled to any tuition fees for the lessons conducted. MindFlex reserves the right to bill the tutor for 25% of the intended total lesson fees as its rightful share for the matching service provided. This will be assessed on a case-by-case basis, and any decision made by MindFlex on the outcome of the case is final.

How Should Lessons Be Conducted?

At MindFlex, you have the flexibility to conduct lessons in the way you feel will be most beneficial for the student’s needs. If there are any additional material to be purchased beforehand for the student, do kindly make sure that the client is agreeable to the extra cost and material to be purchased.

Is There A Minimum Commitment for Tutors?

At MindFlex, Tutors are expected to commit for at least 3 months of tuition lessons, unless otherwise stated. If there are any issues regarding this commitment, you are to kindly refer it back to us and it will be handled on a case-by-case basis. Tutors who constantly fail to meet the minimum commitment period will be blacklisted for future assignments.

Are There Rules for Postponement/Cancellation of Lessons?

We understand that from time-to-time, a postponement or cancellation of lessons may be required by either party, and this will be handled by a case-to-case basis. In the case of the tutor, lessons postponed or cancelled are to be accompanied by a legitimate reason, preferably with medical proof if you are sick. Lessons which are postponed or cancelled without a legitimate reason will result in the tutor being blacklisted for future assignments.

In the case of the client, a postponement or cancellation of the 1st lesson should be notified at least 4 hours in advance. In the event whereby this is not fulfilled, the client will be liable to pay 50% of the 1st lesson fee in compensation for the tutor’s time and transport fees. After the 1st lesson, it is the tutor’s responsibility to make aware to the client of his/her own cancellation terms. Any settlement of last-minute cancellations from the 2nd lesson onwards will be dealt between the client and tutor directly.

In the case whereby a tutor decides to cancel the assignment completely without a valid or legitimate reason, he/she may not be entitled to any tuition fees for the lessons conducted. MindFlex reserves the right to bill the tutor for 50% of the total lesson fees as its rightful share for the matching service provided. This will be assessed on a case-by-case basis, and any decision made by MindFlex on the outcome of the case is final.

Fair & Transparent Commission Policy

Commission Scenarios

Tuition assignments may come with complications due to changes in schedule & frequency of lessons.
To clarify all doubts, we have compiled a list of commonly-faced scenarios by tutors, and the fair amount of commission applied for each case.
MindFlex aims to provides all our tutors with a fair & transparent commission policy. 

Scenario 1 (Decrease in lesson duration for a temporary period):

– The client has engaged Tutor A for 2 hours, 1 x A Week
– The client has requested for Tutor A to come for 1.5 hours only for the 1st lesson (family has other activities planned)
– Subsequent lessons will still be at 2 hours
– As the long-term agreed duration stands at 2 hours, MindFlex will charge a total of 4 hours of commission (2 weeks x 2 hours)
– After the completion of the 3rd lesson, the client will pay MindFlex for 4 hours, and the tutor for 1.5 hours

Scenario 2 (Increase in lesson duration for a temporary period):

– The client has engaged Tutor A for 1.5 hours, 1 x A Week
– The client has requested for Tutor A to come for 2 hours only for the 1st lesson (for last minute exam preparations)
– Subsequent lessons will still be at 1.5 hours
– As the long-term agreed duration stands at 1.5 hours, MindFlex will charge a total of 3 hours of commission (2 weeks x 1.5 hours)
– After the completion of the 2nd lesson, the client will pay MindFlex for 3 hours, and the tutor for 0.5 hours

Scenario 3 (Decrease in lesson frequency for a temporary period):

– The client intends to engage Tutor A for 1.5 hours, 3 x A Week
– The client has requested for Tutor A to come 1 x only for the 1st week (due to pre-arranged plans)
– Subsequent weeks will still be at 3 x A Week
– As the long-term agreed frequency stands at 3 x A Week, MindFlex will charge a total of 6 lessons of commission (3 lessons x 2 Weeks)
– After the completion of the 6th lesson, the client will pay MindFlex for 6 lessons of fees

Scenario 4 (Increase in lesson frequency for a temporary period):

– The client intends to engage Tutor A for 1.5 hours, 1 x A Week
– The client has requested for Tutor A to come 3 x A Week only for the 1st week (for last minute exam preparations)
– Subsequent weeks will still be at 1 x A Week
– As the long-term agreed frequency stands at 1 x A Week, MindFlex will charge a total of 2 lessons of commission (1 lesson x 2 Weeks)
– After the completion of the 2nd lesson, the client will pay MindFlex for 2 lessons of fees

Scenario 5 (Client decides to terminate assignment before 1 full month of lessons):

– The client has engaged Tutor A for 1.5 hours, 1 x A Week
After the 3rd lesson, the client has decided to terminate Tutor A due to the unsuitability of lessons
– As the assignment was terminated before 1 full month of lessons were conducted, MindFlex will charge 50% of total fees as commission
– MindFlex will charge a total of 1.5 lessons of commission (3 lessons divided by 2)

Scenario 6 (Tutor decides to terminate tuition assignment):

– The client has engaged Tutor A for 1.5 Hours, 1 x A Week
– After the 2nd lesson, the tutor has decided to terminate the tuition assignment as she realized the location is too far
– In this case, the tutor will not receive her portion of the fees (50% of total lessons) as the reason for termination was not valid
– Tutors are expected to do their due diligence on location/travelling time before accepting an assignment

Assignments of Total 11 Weeks and Less

Short-Term Assignments Scenarios

Scenario 1: (Standard STA Case)

– The client has engaged Tutor A for a short-term assignment of 10 Weeks, for 1.5 Hrs, 1 x A Week. (Approximately 10 lessons)
– Commission will be 25% of the total lessons conducted, capped at 2 lessons. (Tier 1)
– Calculations: 25% x 10 Lessons = 2.5 Lessons 2 Lessons (capped)
– MindFlex will proceed to collect the 1st 2 lessons of fees, and the client will pay the tutor from the 3rd lesson onwards.

Tier 1: Total 16 Lessons & Less -> Capped at 2 Lessons
Tier 2: Total 17 to 24 Lessons -> Capped at 3 Lessons
Tier 3: Total 25 & More Lessons -> Capped at 4 Lessons

Scenario 2: (Decrease in Lessons, Refund of Commission – Same Tier)

– The client has engaged Tutor A for a short-term assignment of 10 Weeks, for 1.5 Hrs, 1 x A Week. (Approximately 10 lessons)
– Commission will be 25% of the total lessons conducted, capped at 2 lessons. (Tier 1)
– Calculations: 25% x 10 Lessons = 2.5 Lessons 2 Lessons (capped)
– MindFlex will proceed to collect the 1st 2 lessons of fees, and the client will pay the tutor from the 3rd lesson onwards.

– However, after completion of the assignment, the client/tutor informed MindFlex that a total of 6 lessons were conducted.
– The revised commission will be 25% of 6 lessons = 1.5 lessons.
– Calculations: 25% x 6 Lessons = 1.5 Lessons
– MindFlex will proceed to refund 0.5 lessons of fees to the tutor via PayNow or Bank Transfer, after clear proof of lesson records have been provided.

Scenario 3: (Decrease in Lessons, No Refund of Commission – Same Tier)

– The client has engaged Tutor A for a short-term assignment of 6 Weeks, for 2 Hrs, 4 x A Week. (Approximately 24 lessons)
– Commission will be 25% of the total lessons conducted, capped at 3 lessons. (Tier 2)
– Calculations: 25% x 24 Lessons = 6 Lessons 3 Lessons (capped)
– MindFlex will proceed to collect the 1st 3 lessons of fees, and the client will pay the tutor from the 4th lesson onwards.

– However, after completion of the assignment, the client/tutor informed MindFlex that a total of 20 lessons were conducted.
– Calculations: 25% x 20 Lessons = 5 Lessons 3 Lessons (capped)
– As the total number of lessons still fall within Tier 2 (Total 17 to 24 Lessons), there will be no refund in commission.

Scenario 4: (Decrease in Lessons, Refund of Commission – Different Tier)

– The client has engaged Tutor A for a short-term assignment of 10 Weeks, for 1.5 Hrs, 3 x A Week. (Approximately 30 lessons)
– Commission will be 25% of the total lessons conducted, capped at 4 lessons. (Tier 3)
– Calculations: 25% x 30 Lessons = 7.5 Lessons 4 Lessons (capped)
– MindFlex will proceed to collect the 1st 4 lessons of fees, and the client will pay the tutor from the 5th lesson onwards.

– However, after completion of the assignment, the client/tutor informed MindFlex that a total of 20 lessons were conducted.
– As the total number of lessons now fall within Tier 2 (17 to 24 Lessons), the revised commission will be 25% of 20 lessons = 3 lessons.
– Calculations: 25% x 20 Lessons = 5 Lessons 3 Lessons (capped)
– MindFlex will proceed to refund 1 lesson of fees to the tutor via PayNow or Bank Transfer, after clear proof of lesson records have been provided.

Scenario 5: (Increase in Lessons, No Top-Up of Commission – Same Tier)

– The client has engaged Tutor A for a short-term assignment of 10 Weeks, for 1.5 Hrs, 1 x A Week. (Approximately 10 lessons)
– Commission will be 25% of the total lessons conducted, capped at 2 lessons. (Tier 1)
– Calculations: 25% x 10 Lessons = 2.5 Lessons 2 Lessons (capped)
– MindFlex will proceed to collect the 1st 2 lessons of fees, and the client will pay the tutor from the 3rd lesson onwards.

– However, after completion of the assignment, the client/tutor informed MindFlex that a total of 15 lessons were conducted.
– Calculations: 25% x 15 Lessons = 3.75 Lessons 2 Lessons (capped)
– As the total number of lessons still fall within Tier 1 (16 Lessons & Less), there will be no extra commission required.

Scenario 6: (Increase in Lessons, Top-Up of Commission – Same Tier)

– The client has engaged Tutor A for a short-term assignment of 4 Weeks, for 1.5 Hrs, 1 x A Week. (Approximately 4 lessons)
– Commission will be 25% of the total lessons conducted, capped at 2 lessons. (Tier 1)
– Calculations: 25% x 4 Lessons = 1 Lesson
– MindFlex will proceed to collect the 1st lesson of fees, and the client will pay the tutor from the 2nd lesson onwards.

– However, after completion of the assignment, the client/tutor informed MindFlex that a total of 6 lessons were conducted.
– As the total number of lessons have now increased, there will be a top-up of 0.5 lesson commission required.
– Calculations: 25% x 6 Lessons = 1.5 Lessons
– MindFlex will proceed to collect this from the client or the tutor, depending if the lesson fees have been fully paid.

Scenario 7: (Increase in Lessons, Top-Up of Commission – Different Tier)

– The client has engaged Tutor A for a short-term assignment of 5 Weeks, for 1.5 Hrs, 3 x A Week. (Approximately 15 lessons)
– Commission will be 25% of the total lessons conducted, capped at 2 lessons. (Tier 1)
– Calculations: 25% x 15 Lessons = 3.75 Lessons 2 Lessons (capped)
– MindFlex will proceed to collect the 1st 2 lessons of fees, and the client will pay the tutor from the 3rd lesson onwards.

– However, after completion of the assignment, the client/tutor informed MindFlex that a total of 20 lessons were conducted.
– As the total number of lessons now fall within Tier 2 (17 to 24 Lessons), there will be a top-up of 1 lesson commission required.
– Calculations: 25% x 20 Lessons = 5 Lessons 3 Lessons (capped)
– MindFlex will proceed to collect this from the client or the tutor, depending if the lesson fees have been fully paid.
